The Police Department Administrative Assistant provides critical support to the Assistant Chief by managing complex administrative operations and ensuring efficient workflow within the executive office. This role oversees scheduling, coordinates interdepartmental and external communications, and prepares sensitive reports and briefing materials with accuracy and discretion. The assistant serves as a professional liaison between leadership and departmental units, maintaining effective communication and supporting strategic initiatives. They manage confidential records, assist with budget and procurement tasks, organize executive meetings and events, and handle travel and logistical arrangements. With strong organizational awareness and sound judgment, the assistant anticipates operational needs, follows through on priority items, and contributes to the overall effectiveness of the department’s leadership team.
Minimum Qualifications:
- Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of clerical and administrative experience
Preferred Qualifications:
- Higher levels of clerical experience as it relates to this vacancy
- Intermediate proficient in Microsoft office suite (Outlook, Word, Excel)
- Experience with sworn civil service and the ability to communicate effectively with all levels of an organization coupled with the ability to maintain a strict level of confidentiality at all times
The Administrative Assistant job responsibilities include:
- Assist with researching, data tracking, reporting, and monitoring the status and flow of internal processes
- Respond to and resolve inquiries from internal customers and citizens or direct them to the appropriate personnel
- Perform a wide variety of clerical, fiscal, and administrative tasks to support staff and management personnel in the assigned area of responsibility
- Provides administrative assistance to staff by preparing documents, scheduling meetings, and screening clients and phone calls. Maintains appointment calendars, preparing travel documents, employee travel reimbursement requests and conference registration
- Serves as a liaison between the Department and external agencies or stakeholders, assisting with meeting scheduling and communications
- Participates in special projects, providing input as needed
- Performs other duties as required
Working Conditions and Physical Demands
Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions
Sedentary Work – Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met
Final candidates selected for hire in the Police Department will be subject to a fingerprint/criminal history background check and polygraph examination. Applicants must not have used marijuana during the previous two (2) years, nor illegally used any controlled substances within the last five (5) years.
Criminal Justice Information Systems (CJIS) Background Check
Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following will result in being disqualified for this position: Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class
