A Sr. Administrative Assistant position is available with the City of Fort Worth Municipal Court Administration division. Under the direction of the Municipal Court Administrative Services Manager, the Sr. Administrative Assistant will act as a liaison between the assigned division/department, customers, and outside agencies, and provide specialized and complex administrative support to leadership. This includes coordinating major administrative functions, managing department programming, tracking financial activities, and ensuring smooth communication across departments and external partners.
The Sr. Administrative Assistant will serve as the department’s primary Travel Coordinator, processing all travel and training requests. The position will also manage all City badge ID requests, oversee department program coordination such as Court Week, the City’s Annual Heart Walk, and the True Worth Shelter Drive, and record Executive Leadership meeting minutes. Additionally, this role will ensure vendor invoices are processed and paid in accordance with financial guidelines while holding the department voucher role. Ideal candidates will possess strong attention to detail, adept record‑keeping abilities, and effective prioritization skills to manage multiple deadlines.
Minimum Qualifications:
- Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources or related field
- Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division or major service area, including one year in a supervisory or lead capacity
Preferred Qualifications:
- Experience with media printing software
- Experience with PeopleSoft HCM software or other ERP systems
- Research, data tracking and process analysis experience
- Excellent time management/organizational skills
- Excellent interpersonal, verbal and written communication skills
- Ability to adapt to constantly shifting priorities in managing a wide range of projects
The Sr. Administrative Assistant job responsibilities include:
- Serve as lead for assigned major programs and projects; track progress and provide completion reports
- Coordinate community outreach and engagement activities
- Prepare written communication, administrative regulations, unit publications, brochures, pamphlets, training materials, media releases, and standard operating procedures
- Plan and organize onsite meetings and external stakeholder functions
- Serve as primary Travel and Training Coordinator
- Process City badge ID requests
- Monitor building maintenance requests
- Perform fiscal activities including processing vendor payments, ensuring invoices are paid, and fulfilling the department voucher role while following Financial Management guidelines
- Assist with payroll/timekeeping including processing time, resolving errors, and responding to related questions
- Coordinate department programming such as Court Week, the City’s Annual Heart Walk, and the True Worth Shelter Drive
- Record, prepare, and distribute minutes for Executive Leadership meetings
- Serve as backup for various staff positions in their absence
Physical Demand
Sedentary Work – Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects.
