About the role
We’re seeking a highly organized and proactive Office & Business Administrator to support the day-to-day operations of our Redmond office and provide administrative support across Recruiting, HR, Finance, and other business functions.
This is a hands-on, on-site role that serves as a central resource for employees, candidates, visitors, and internal teams. The ideal candidate is dependable, detail-oriented, comfortable balancing multiple priorities, and able to independently manage day-to-day office responsibilities while learning and supporting administrative processes across the business.
Prior experience in HR, Recruiting, Finance, or Payroll is not required. This role will partner with and receive guidance from the appropriate functional teams while providing administrative coordination and follow-through.
Responsibilities:
- Coordinate day-to-day office operations and help maintain an organized, welcoming, and well-functioning workplace
- Provide front-desk coverage and serve as a primary point of contact for employees, visitors, vendors, and deliveries
- Greet visitors, coordinate check-in, and follow Company security and building-access procedures
- Monitor the main office entrance and ensure visitors and deliveries are appropriately received and directed
- Receive and distribute mail, packages, and deliveries
- Coordinate employee and visitor badges, building access, and related administrative processes
- Maintain office supplies, common areas, meeting spaces, and other shared resources
- Coordinate with facilities providers and office vendors and track service requests through completion
- Support company meetings, employee events, and other workplace activities
- Identify and recommend improvements to office processes and administrative workflows
- Provide administrative support to the Recruiting team, including coordinating candidate interviews across hiring managers and interview teams
- Manage interview scheduling, calendar changes, candidate communications, and related logistics
- Welcome and coordinate on-site interview candidates
- Help provide an organized and professional candidate experience
- Provide additional recruiting administrative support as needed
- Provide administrative support to HR for employee onboarding and first-day logistics
- Coordinate new-hire workspace, equipment, building access, schedules, and other onboarding needs with internal teams
- Welcome new employees and help them navigate office logistics and resources
- Track onboarding activities and follow up on outstanding administrative items
- Assist HR and Finance with payroll-related administrative tasks, including state payroll tax account setup and related registrations
- Provide additional HR administrative support as needed
- Coordinate employee business travel, including flights, hotels, transportation, and itineraries
- Assist with travel changes and other travel-related logistics
- Help ensure travel arrangements follow Company policies and approved budgets
- Provide administrative support to HR, Recruiting, Finance, and other teams on business operations and cross-functional projects as needed

Qualifications:
- 2+ years of experience in office administration, reception, customer service, hospitality, business support, or a similar role preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and reliably follow tasks through completion
- Strong written and verbal communication skills
- Professional, welcoming, and service-oriented approach when interacting with employees, candidates, visitors, vendors, and leadership
- Comfortable learning new processes, systems, and administrative responsibilities
- Ability to follow established procedures while asking questions or escalating issues when appropriate
- Ability to work independently on routine responsibilities and collaboratively with other teams
- Sound judgment and ability to handle confidential or sensitive information appropriately
- Comfortable working in a fast-paced, growing environment where priorities may change
- Ability to work on-site in our Redmond office
- Experience with office operations, reception, calendar coordination, or business travel
- Exposure to Recruiting, HR, Payroll, Finance, or other business administrative functions
- Experience working in a startup, technology company, or growing organization
