About the role
This is a hybrid role that requires regular travel to WelbeHealth sites within your assigned region, typically 1–3 times per week, as well as travel to another region approximately once per month for a same-day visit.

The Facilities Coordinator is the primary point of contact for all building shell and Mechanical, Electrical, and Plumbing (MEP) related items, and will also assist with setup and coordination of the Emergency Management Professional Program (EMPP) processes and procedures. WelbeHealth’s market leaders and respective Facilities Coordinators work closely together for all maintenance tasks, requests, and logistics. The Facilities Coordinator is accountable for executing all required preventative maintenance programs, tracking, scheduling Fire, Life, and Safety (FLS) recurring inspections, and scheduling follow-up repairs as required. The Facilities Coordinator maintains an annual budget per site, tracks both expected and unexpected expenses, and is the primary subject matter expert of their sites’ equipment.
This role is different because the Facilities Coordinator at WelbeHealth:
- Owns facilities operations across multiple PACE sites, providing hands-on oversight of building systems, maintenance, preventative maintenance, FLS requirements, vendors, and facility-related projects across an assigned market
- Plays a direct role in keeping our PACE centers safe, operational, and ready to serve participants, balancing day-to-day facility needs with long-term planning, budgets, repairs, replacements, and small capital projects

On the day-to-day, you will:
- Assist the Facilities Manager with tactical planning for the department’s annual goals, objectives, and KPIs
- Support critical requests or tasks from local market leadership
- Provide administrative support for schedule management and budget trackers (e.g., Excel spreadsheets, Smartsheet, Procore, MS Project)
- Ensure appropriate follow-up with end users, onsite leadership, and vendors
- Provide direction to vendors, market staff, leadership, and service providers as required to ensure excellent work order resolution
- Coordinate facility preparation including but not limited to supply orders, equipment training, clinic set up, kitchen set up, market-specific vendor identification, and orientation
- Support small project management, budget, and proposal aggregation, presenting a case for the best option (<$250,000 projects, renovations, retrofits, major repairs)
Job requirements include:
- Ability to travel within service areas (local travel, driving distance, reliable transportation required)
- High school diploma or equivalency; professional experience may be substituted; trade school preferred
- Minimum of five (5) years of experience in facilities management and maintenance of Class A, B, or C office, industrial, or healthcare sites, their respective grounds, or amenities; healthcare facilities experience strongly preferred
- Minimum of two (2) years of front-line facilities maintenance experience, including familiarity with preventative maintenance scheduling and execution, technical manuals, low voltage programing, programmable logic controllers (PLCs), pumps, motors, compressors, grounds keeping, lighting controls, building management systems (BMSs), access control systems, and facility cameras
- Apprenticeship level understanding of most trades (MEP) preferred; specialty in one would compensate for slight deficiency in others; ability to read construction plans and locate specific data in a construction drawing set (i.e. ceiling height differences between two areas or paint colors used)
- Any formal administrative, property management, or project management certifications a plus
- Any presentation, communications, or maintenance certifications or degrees a plus
- Critical and resolution-based thinking skills
- Must be able to design and execute solutions with autonomy
- Excellent record-keeping and diligence
