About the role
👩💻👨💻 Role
As a Processing Center Shift Lead, you will help oversee daily operations during your shift in our Dallas processing center, ensuring that our customers’ physical mail is processed accurately and on time. You’ll act as a “player-coach” – working hands-on with mail processing tasks while leading and coordinating your shift to maintain the reliability and quality our customers expect. In this role, you’ll handle everything from receiving and sorting mail to fulfilling special customer requests (like scanning or forwarding items), all while guiding the team and tackling any issues that arise during your shift.

✅ What you'll do
Lead by example in mail processing: Accept, unload, and sort incoming mail alongside the team – this includes lifting and moving envelopes and packages, applying barcodes, and uploading mail into Stable’s software system for tracking.
Fulfill customer requests through Stable’s software including:
Opening, scanning, and uploading mail contents into Stable’s system.
Forwarding or returning mail to customers via courier services.
Endorsing and depositing checks on behalf of customers.
Shredding sensitive mail as requested.
Coordinate daily workflow: Prioritize and assign tasks to team members to ensure mail is processed on schedule and customer requests are completed promptly. Adjust team workload as needed throughout the shift to meet deadlines.
Operate and maintain equipment: Safely use mail processing equipment (scanners, label printers, scales, etc.) and perform basic troubleshooting or maintenance. Coordinate any technical support or repairs promptly to minimize downtime.
Monitor inventory and supplies: Keep track of processing supplies (barcode labels, shipping envelopes, packing materials, etc.) and ensure the team has what they need.
Triage issues and escalate when needed: Address minor issues on the floor – such as jammed scanners or misrouted mail – and find quick solutions. For any major problems or delays, promptly escalate them to the Processing Center Manager or relevant team to get additional help.
Support and train the team: Help onboard new Processing Center Specialists by demonstrating the proper procedures and best practices. Provide ongoing coaching to team members during your shift, answering questions and ensuring everyone follows standard operating procedures.
Ensure a safe, organized workspace: Uphold a clean, safe, and efficient work environment during your shift. Enforce company policies and guidelines (such as package weight limits and security protocols) to protect team safety and maintain quality standards.
Resolve customer-related inquiries: Work with Stable’s customer support team to quickly address any customer questions or special requests that are escalated to the processing center. Ensure that the customer concerns are resolved or routed appropriately in a timely manner.
✨ Requirements
Education & experience: High school diploma or equivalent is required. Previous experience in a mailroom, warehouse, or similar processing/operations environment is a plus. Experience leading a team or shift (even informally) is highly preferred.
On-site availability: This role requires real schedule flexibility. While most shifts fall Monday–Friday, coverage gaps come up regularly and you will be expected to step in, including some early mornings, evenings, and weekends.
Leadership skills: Strong communication and interpersonal skills with the ability to coach and motivate a team. You can coordinate people effectively and maintain calm under pressure.
Attention to detail: A meticulous eye for detail and commitment to accuracy in all tasks to ensure we meet high quality standards.
Technical aptitude: Comfortable operating mail processing equipment (scanners, printers, scales) and using computer software to log information. Willingness to learn new tools and troubleshoot basic equipment issues.
Organization & time management: Excellent organizational skills and the ability to juggle multiple tasks. You can prioritize workload for yourself and others to meet daily deadlines in a fast-paced environment.
Problem-solving: A proactive mindset for identifying problems and finding solutions quickly. Able to make sound decisions on the fly and know when to escalate an issue to management.
Team-oriented: A collaborative attitude and willingness to roll up your sleeves. You work well as part of a team and are not afraid to perform any task that you ask your team to do.
