We’re looking for an Operations Coordinator to help keep our Lynchburg branch organized, responsive, and prepared every day. This is a hands-on role that blends dispatch, purchasing, warehouse coordination, customer support, payroll administration, fleet coordination, and general branch operations.
In a smaller, close-knit location like Lynchburg, this person plays an important part in keeping technicians and installers equipped, scheduled, and moving while also making sure customers receive timely communication and operational details don’t fall through the cracks.

What You’ll Do
- Schedule and dispatch technicians and installation crews to maximize daily productivity.
- Call customers to schedule appointments, present estimates, and follow up on past-due balances.
- Address customer complaints and concerns and work toward a fair resolution.
- Enter daily huddle metrics including sales, sold hours, month-to-date performance, TGLs, and HG sold.
- Calculate and enter timecards for branch payroll.
- Gather parts and materials to replenish technician and installer truck stock.
- Stage equipment and materials for scheduled installations so crews can quickly “gather and go.”
- Assemble installation bags for customers.
- Receive and check in warehouse deliveries and restock parts and consignment inventory.
- Complete monthly consignment inventory counts.
- Process and return warranty parts.
- Place and enter purchase orders for stock, consignment, and job-specific materials.
- Receive purchase orders when technicians submit pick tickets.
- Make credit card purchases for materials and equipment and complete related expense reports.
- Register equipment and units following installation and payment.
- Coordinate outgoing mail and shipments through USPS and FedEx and serve as the branch’s FedEx contact.
- Answer geothermal system questions for customers and sales team members.
- Serve as Fleet Coordinator for the Lynchburg branch.
- Review vehicle status and needs and communicate updates to management.
- Support the Operations Manager with interviews for open branch positions.
What We’re Looking For
- Comfortable working daily in ServiceTitan, Excel, and other standard business software, with the ability to learn new systems quickly.
- Able to manage multiple priorities across scheduling, inventory, purchasing, reporting, and customer support.
- Proactive and willing to take ownership rather than waiting to be told what needs to happen.
- Strong follow-through and a focus on driving issues to full resolution.
- Clear, professional, and calm communication with customers, including during difficult conversations.
- Strong organizational skills and attention to detail.
- Comfortable working closely with technicians, installers, vendors, customers, and branch leadership.
- Previous experience in HVAC, plumbing, electrical, dispatch, warehouse, purchasing, or operations support is a plus.
