About the role
Pluralis Research is pioneering Protocol Learning, a fully decentralised way to train and deploy AI models that opens this layer to individuals rather than well resourced corporates. By pooling compute from many participants, incentivising their efforts, and preventing any single party from controlling a model's full weights, we're creating a genuinely open, collaborative path to frontier-scale AI.
As our Executive Assistant, you'll support our CEO and Chief of Staff day to day. calendar, travel, meetings, dinners, and follow-through. Keep the team's administrative machinery running and support events such as conferences, offsites, hosted dinners we handle regularly.
This is a hands-on, high-trust seat for someone early in their career who is organised, discreet, and wants real exposure to how a seed-stage AI research company operates.
Responsibilities
CEO & executive support: Own calendar and scheduling. Set up meetings, calls, dinners and hosted sessions with investors, partners, researchers and candidates. Chase follow-through so nothing important drops.
Travel and logistics: Book and manage travel for the CEO and team across Australia and the US, including conferences (NeurIPS, ICLR and beyond) and team offsites.
Team administration: Onboarding support, equipment and tooling requests, expenses and invoices, vendor set-up, document polish, and keeping Notion and Google Drive tidy and current.
Events support: Help with offsites, conference presence, Tech Talks and hosted dinners and logistics.
Building systems: We are an agent-first company. Use AI tools daily and build repeatable systems rather than repeating the same manual work forever.
What You'll Bring
~5 years in executive support, EA/PA, coordination or early-career operations (founder-facing experience is a strong plus).
You've worked in a funded startup (seed–Series B) and/or venture / PE — or clear evidence you operate at that pace.
Proven support of an executive or founder: calendar, travel, stakeholder coordination, high discretion.
Clear written English you craft yourself not LLM paste.
Confident in Google Workspace. Comfortable with Notion, Linear and Slack or Zulip, or able to pick them up in a week. Already using AI tools (Claude, ChatGPT or similar) in how you work.
Comfortable working across timezones with some early or late calls to coordinate with the US.
Based in Australia with full working rights.
Nice to Have
Direct EA / Founder's Associate experience with a CEO or founding team.
Light events or dinner coordination experience.
Exposure to AI, deep tech, research or crypto communities.
Examples of using AI tools to automate part of your own workload.
