About the role
We are looking for a highly organized and detail-oriented Associate Manager, Production to join our Creative team. This role will support the day-to-day management of photo and video productions from pre-production through post-production, helping ensure shoots run smoothly, timelines stay on track, and any problems are met with creative solutions.
The ideal candidate is proactive, resourceful, and excited to work behind the scenes to bring creative concepts to life. You’ll work closely with internal creative and production partners, as well as external vendors and freelance talent, supporting everything from shoot logistics, budgets, travel, and call sheets to retouching workflows and final asset distribution.
What You'll Do
- Laying out/updating decks for leadership review
- Facilitate NDAs and proper filing for all vendors and partners in which brand specific details are being discussed
- Keep track of crew statuses from pre to post-production via shoot production tracker
- Update usage calendar once shoot usages have been confirmed
- Creating SOP for external partners and distributing them as necessar
- Keeping a detailed file of all deal memos, versions, and ensuring all documents are Manage the Production Job Folders for all projects, which includes adhering to the subfolder and file naming system
- Ad hoc tasks as requested by your manager
- Reach out to agents and teams to check availabilities and holds for upcoming projects
- Maintaining booking trackers for each shoot
- Booking travel and accommodation
- Work together with your manager to create project budgets and maintain updated numbers as projects progress
- Manage permitting
- Submit EQ and production supplies lists
- Making and sending call sheets
- Organize catering
- Maintain a fully stocked and organized production kit and product suitcas
- Manage a high level of professionalism and decorum at all times as an external representative of rhode
- Manage all PAs on set
- Oversee set up and breakdown
- Keep track of crew hours and NDA signatures
- Manage all product including units given to makeup artists, units set aside to be photographed, and verifying all units are returned unless otherwise permitted
- Distribute shot lists to keys and facilitate boards for reference on set
- Ensure all printed/reference materials are accounted for and destroyed responsibly after wrap
- Keep track of products shot in situ and on model
- Ensure set is as organized and presentable as possible at all times Post-Production:
- Filing and verifying invoices and receipts to budgeted costs
- Mark up retouching notes according to the brand retouching guide
- Organize rounds of retouching notes to ensure streamlined feedback and revisions
- Support on asset distribution to cross-functional partners

What You'll Bring
- Education: A minimum of a Bachelor's degree in related field
- Experience: 3+ years of experience as a production coordinator, operations, or project management within beauty, CPG, or fashion/lifestyle industries.
- Organization & Detail Oriented: Proven ability to manage multiple timelines, vendors, and deliverables simultaneously with strong attention to detail.
- Communication Skills: Strong verbal and written communication skills to effectively coordinate across creative, operations, and external partners.
- Technical Knowledge: Proficiency with project management and production tracking tools (e.g., Asana) and design tools (e.g. Figma, Adobe Creative Suite)
- Problem-Solving: Ability to anticipate production challenges, propose proactive solutions, and adapt in a fast-paced, evolving environment.
- Attitude: A positive attitude with a commitment to growth through giving and receiving constructive feedback and making adjustments accordingly

- Location of Position: Beverly Hills, CA
- Reports to: Associate Director, Creative Production
- Hybrid Model: 3+ days a week in the office (outside of shooting weeks)
- Budgeted Salary Range: $85K-$100K
