### 🚀 The Opportunity

Legion is hiring a detail-oriented, healthcare-fluent Medical Virtual Assistant to support patients during the earliest and most important parts of their care journey.

You will help ensure that every prospective and newly booked patient is contacted quickly, welcomed warmly, prepared clearly, and routed correctly before their first visit. You will work across phone calls, patient messages, scheduling systems, intake documentation, insurance workflows, and internal coordination to prevent patients from becoming confused, delayed, or lost in the process.

This is not a traditional administrative-assistant role. You will be a frontline operator responsible for helping real patients navigate a complex healthcare experience. Patients may contact us when they are anxious, frustrated, missing documentation, experiencing scheduling problems, or unsure what to do next. You must be able to communicate calmly, clearly, accurately, and empathetically while keeping each patient moving toward care.

Excellent spoken and written English is essential. You will communicate directly with U.S.-based patients every day, document conversations for clinical and operations teams, and explain complicated logistical requirements in simple language without sounding robotic or dismissive.

We strongly prefer candidates with pharmacy, medical, nursing, behavioral-health, or other formal healthcare training outside the United States. This is a strictly non-clinical position: you will not diagnose patients, provide medical advice, recommend treatment, or practice under any medical or pharmacy license. Clinical fluency is valuable because it will help you understand patient needs, recognize sensitive issues, gather the right information, and escalate questions to the appropriate clinical team.

A meaningful part of the role may involve helping patients prepare for ADHD-related care. You should be comfortable learning detailed protocols, explaining documentation and release-of-information requirements, coordinating next steps, and helping patients feel prepared while remaining firmly within a non-clinical scope.

The right person is warm with patients, precise with documentation, reliable under pressure, and energized by the opportunity to improve the systems behind a rapidly growing mental-health practice.

### ✅ Responsibilities and Deliverables

- Respond quickly to new leads and booked patients across phone, messaging, and internal systems.

- Provide every patient with a warm, professional welcome and a clear explanation of what to expect before their first appointment.

- Communicate with patients clearly, accurately, and empathetically in both spoken and written English.

- Explain scheduling, intake, paperwork, insurance, and appointment-preparation requirements in simple, patient-friendly language.

- Support appointment booking, rescheduling, intake completion, paperwork follow-up, and patient onboarding.

- Monitor patients with incomplete intake forms, missing documentation, scheduling conflicts, insurance questions, pharmacy-related questions, or other barriers to care.

- Manage patient-access workflows across self-service signups, referrals, Zocdoc leads, and other inbound channels.

- Support ADHD-related intake preparation, including documentation requirements, release-of-information steps, and appointment expectations.

- Help patients complete required logistical steps without providing clinical advice or making treatment recommendations.

- Identify prescription, refill, prior-authorization, medication, safety, and clinical questions and escalate them promptly to the appropriate team.

- Accurately document every material patient interaction so clinicians and teammates have complete, actionable context.

- Maintain clear follow-up queues and ensure outstanding patient needs do not fall through the cracks.

- Follow approved scripts, standard operating procedures, privacy requirements, and escalation protocols.

- Partner closely with clinical, operations, billing, and patient-experience teams to resolve access barriers.

- Maintain fast and consistent response times across assigned patient queues.

- Identify recurring patient questions, delays, and workflow failures and share actionable feedback with operations, product, and clinical teams.

- Help improve scripts, workflows, templates, and SOPs as Legion’s systems and care model evolve.

- Maintain a reliable, high-speed internet connection and a quiet, professional environment for patient calls.

- Protect patient privacy and handle sensitive information according to Legion’s policies and approved systems.

- Use SOPs consistently while identifying opportunities to make patient-access workflows faster and more reliable.

- Reduce avoidable manual work through strong organization, reusable documentation, and thoughtful process improvements.

- Earn the trust of patients, clinicians, and teammates through reliability, sound judgment, and excellent follow-through.

### 🧰 Ideal Background and Skills

- 2+ years of experience in healthcare operations, patient support, pharmacy support, medical administration, telehealth, healthcare call centers, or a similar role.

- Exceptional spoken and written English communication skills.

- Clear, warm, confident, and professional communication on patient phone calls.

- Ability to explain detailed requirements in simple language while maintaining accuracy.

- Strong patient-facing judgment, empathy, patience, and professionalism.

- Excellent documentation skills and close attention to detail.

- Strong organization and the ability to manage multiple active patient conversations and follow-up tasks.

- Comfort working in a fast-paced startup where processes and responsibilities may evolve quickly.

- Experience using systems such as Slack, Dialpad, Healthie, CRMs, EHRs, scheduling platforms, or similar tools.

- Ability to work closely with clinical teams while respecting the boundaries of a non-clinical role.

- Curiosity, initiative, and a willingness to learn the details of Legion’s care model and patient-access workflows.

- Strong preference for candidates with formal healthcare education, training, or licensure outside the United States, including pharmacists, physicians, nurses, medical technologists, psychologists, or similar healthcare professionals.

- Pharmacy experience is especially valuable, including familiarity with prescriptions, refills, prior authorizations, controlled-substance workflows, and medication-related patient questions.

- Familiarity with behavioral health, psychiatry, ADHD care, telehealth, insurance, scheduling, referrals, or clinical documentation is strongly preferred.

- Experience supporting U.S.-based patients or working within U.S. healthcare processes is a plus.

- Availability to work consistently from 1:00 PM–9:30 PM Central Time.

- A reliable computer, high-speed internet connection, professional call environment, and dependable remote-work setup.The most important qualifications are patient empathy, excellent communication, healthcare fluency, operational execution, accurate documentation, and reliable follow-through.

### ⚕️ Non-Clinical Scope

This is a non-clinical patient-operations role.

- You will not diagnose patients or assess medical conditions.

- You will not provide medical or medication advice.

- You will not recommend or make treatment decisions.

- You will not interpret symptoms, laboratory results, or clinical records for patients.

- You will not practice under a medical, nursing, pharmacy, or other healthcare license.

- You will route clinical, medication, safety, and treatment questions to the appropriate licensed team member.Your responsibility is to support patient logistics, documentation, scheduling, coordination, and escalation so patients can receive timely, high-quality care from the appropriate clinical team.
